Job Description
Salary: £13.26 per hour (Full-time, Temporary ongoing)
Hours: 9:00am - 5:00pm, Monday to Friday
Location: Remote (with occasional visits to Aberystwyth office for IT equipment collection and training)
Our client is seeking a Financial Administrator to join their busy team. The main purpose of this role is to prepare and oversee quotation exercises, raise purchase orders, and process payments while ensuring compliance with policies and procedures.
This is a varied and fast-paced position where attention to detail, strong organisational skills, and a customer-focused approach are essential. While the role is fully remote, candidates should preferably be able to attend the office in Aberystwyth when required.
Key Responsibilities:
- Prepare and oversee quotation exercises, including creating and monitoring electronic Quick Quotes
- Raise purchase orders promptly and accurately, ensuring compliance with Contract Procedure Rules
- Source goods and services, liaising with Procurement Officers as required
- Maintain high levels of customer service, ensuring the needs of internal customers are met
- Deal with suppliers to confirm orders, arrange deliveries, and resolve post-order issues (e.g. returns, credit notes)
- Ensure officers promptly receipt orders on the purchasing system once fulfilled
- Maintain accurate records of purchase order requests and processing times
- Administer bookings for hotels, hire cars, train tickets, and flights for service users
- Support processes associated with credit card and virtual payments
- Provide administrative support with invoice payment processing and input when required
- Collect information to set up new suppliers on the central payments system
- Collate information for reporting purposes as required
Person Specification:
Essential Qualifications:
- Minimum of 5 GCSEs at grade C or above (including Maths and English) OR demonstrable equivalent experience
- A-Levels or NVQ equivalent
Experience & Skills:
- Experience using electronic systems for ordering and payments
- Ability to use procurement, payments, and financial systems (including Quick Quotes)
- Strong organisational skills with the ability to prioritise work effectively
- Accuracy, reliability, and initiative in completing tasks
- Excellent customer service skills with a positive, can-do attitude
- Strong communication skills, both written and verbal, with all levels of the organisation and external suppliers
- Proficiency in Microsoft Office (basic level minimum)
- Ability to interpret and apply procedures consistently and tactfully
- Team player with the ability to work independently
- Data presentation skills
